Administrative Assistant/Purchasing & A/P Clerk

Location:    Dayton, OH (Beavercreek)

Position Type:  Entry Level, Fulltime

Hours: 8:00am - 5:00pm

Overtime Requirements:  Occasional overtime may be required.

Physical Requirements:   Ability to lift files, open filing cabinets, bend or stand as necessary, some lifting of mail, packages, and office supplies.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this position.


  • High School Diploma or equivalent - completed college level accounting classes desired.
  • Associate's degree in Accounting-related studies may waive experience requirement.

Experience:  1-3 years relevant experience

Purchasing/AP Duties and Responsibilities:

  • Track purchase order delivery schedules, document receipt of procured items, and document receipt of vendor invoice
  • Coordinate & communicate purchasing actions, order lead-time, back-order status, and delivery with purchase requestor
  • Prompt entry & maintenance of records related to materials purchase; to include purchase orders, packing slips, and vendor invoices
  • Properly code & file accounting documentation to ready vendor payment
  • Process vendor payments
  • Timely credit accounts reconciliation

Administrative Support Duties:

  • Manage Matrix reception area (prompt friendly greeting, direct visitors in professional manner, etc)
  • Coordinate & provide arrangements for office meetings, conferences, and social engagements
  • Receive, sort, and disperse incoming mail/packages daily. Coordinate pickup & delivery of mail services (UPS, etc)
  • Supervise maintenance of office equipment (copier/fax, phone system, etc)
  • Oversee day-to-day operations of office/laboratory facility (ex. HVAC, plumbing, general maintenance and repairs around the office, etc)
  • Assist Matrix staff with clerical duties as needed (scanning, photocopying, faxing, filing, etc.)
  • Promptly complete additional duties & projects as assigned

Other Requirements and Competencies:

  • Proficient in Microsoft Excel
  • Proficient in a professional accounting software program such as QuickBooks, Unanet, Peachtree or similar accounting software
  • Must have basic knowledge of accounting principles
  • Ability to communicate accounting information to staff
  • Ability to work with diverse staff personalities in a friendly professional manner
  • Strong verbal & written communication skills
  • Demonstrate accurate & timely work completion
  • Position requires prioritizing and planning work activities for efficient use of time
  • Desire independent judgment skills to execute work tasks, solve problems in purchasing, and basic accounting duties
  • Adaptable to changes in the work environment, manage competing demands, and ability to deal with frequent changes, unexpected events, and short notice tasking
  • Ability to follow instructions, respond to management direction, and seek performance feedback to ensure satisfactory performance
  • Effectively apply received feedback to improve efficiencies
  • Skill and willingness to complete diverse administrative tasks as assigned by staff members
  • Adhere to company procedures and policies with minimal autonomy
  • Must be capable of obtaining and maintaing a security clearance, which requires applicants pass a background check.
